Skin360AI Privacy Policy

Last updated: 20 August 2026

This policy explains how Skin360AI handles personal and health information, including skin photographs. Read it with our Skin360AI Terms; it sits alongside the general Doctors Note Privacy Policy.

1. Who we are

Skin360 is operated by Walia Medical Pty Ltd (ABN 52158069080), a general practice led by Dr Rupinder Singh Walia (AHPRA MED0001647256). We are bound by the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) and by our professional obligations for handling health information.

2. What we collect

To provide skin photo monitoring and an optional doctor photo review, we may collect your name, email and contact details; date of birth; the information you provide about one skin spot and your relevant history; and photographs of your skin submitted as a baseline, follow-up or review request. Payment is handled by Stripe; we receive payment confirmation but do not collect or store complete card details.

3. How we collect it

We collect this information directly from you through the baseline, follow-up and doctor-review forms, and receive limited transaction information from our payment provider when you choose a paid review.

4. Why we use it

We use your information to create and secure your photo record, connect later photographs to the intended spot, send reminders you choose, provide a non-diagnostic summary, process an optional doctor photo review, maintain records and support an appropriate GP or specialist handoff. We do not use skin photographs for advertising and do not sell your information.

5. Who we share it with

If you request a doctor review, the submitted clinical information is reviewed by Dr Walia. To operate the service we use providers that process limited information on our behalf, including Stripe for payments, Brevo for service email, website hosting and secure software tools that may include an AI service for photo guidance and workflow support. Software does not diagnose you or make clinical decisions. Skin360AI operates across doctorsnote.com.au and cert3.doctorsnote.com.au, so information may move securely between them to provide the requested service. We may also disclose information where required by law or with your authority for care coordination.

6. Overseas disclosure

Some of our providers (for example email, payment and AI processing) store or process data outside Australia, including in the United States and the European Union. Where this happens we take reasonable steps to ensure your information is handled consistently with the APPs.

7. How we protect it

Your photos are stored in private, access-controlled storage — not in a public web folder — and information is transmitted over encrypted connections. Access to your clinical information is limited to those who need it to provide your care.

8. How long we keep it

Information connected with a doctor consultation is retained as part of the clinical record for the period required by applicable Australian law and professional obligations. Free photo-record information is retained while needed to provide the record and follow-up service, meet legal and security obligations, and resolve disputes. You may ask about access, correction or deletion; some information cannot be deleted where clinical-record or other legal retention requirements apply.

9. Accessing and correcting your information

You can ask us for a copy of the personal and health information we hold about you, and ask us to correct it if it is wrong. Contact us using the details below; we will respond as required by the APPs.

10. Your consent

By submitting information you consent to its collection, use, storage and disclosure as described here for the service you request. Optional use of suitable de-identified photographs for approved research, quality or model-improvement work requires a separate choice. Declining that optional use does not affect your free record or doctor review, and you may withdraw future optional use by contacting us.

11. Complaints

If you have a privacy concern, please contact us first (details below) and we will try to resolve it. If you are not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

12. Changes to this policy

We may update this policy from time to time; the current version will always be posted here.
